1. Collection of Personal Data

Galton may process personal data for a variety of purposes. We may process your personal data submitted when you apply for a position with us, during the course of providing professional services for the organisation you are associated with, or via publicly available sources (collectively your "Personal Data").
2. Nature of Personal Data
Your Personal Data may include copies and other details of identity documents, proof of address and other contact details, information concerning age, marital status, racial or ethnic origin, creditworthiness, physical or mental health or medical condition, dietary preference, commission or alleged commission of any offence or proceedings for any offence committed or alleged to have been committed including past misconduct, the disposal of such proceedings or the sentence of any court in such proceedings.
3. Processing of Personal Data
Personal Data you provide will be collected, used and otherwise processed by Galton for the following purposes:
a. Human Resource management and/ or purposes, including:
i. the identification and determination of eligibility for employment in the country in which Galton is established generally and qualifications relevant to employment with Galton;
ii. pre-employment verification of information provided by prospective employees which includes checking the accuracy and completeness of the details (such as qualifications) provided by prospective employees;
iii. pre-employment vetting of prospective employees' background and circumstances which may include conducting background checks in relation to criminal records, obtaining information from credit bureaus to check for employees' creditworthiness, conducting reference checks in relation to employees' job suitability;
iv. assessing individual work performance, attendance and disciplinary record;
v. conducting employee disciplinary proceedings;
vi. conducting training of employees;
vii. obtaining and maintaining employee health records and information;
viii. reviewing salaries, bonuses and other benefits;
ix. providing employee references which include: letters to third parties providing employee's details (excluding salary information) of employment with Galton;
x. monitoring business communications (by monitoring telephone, email and internet traffic data, i.e. sender, receiver, subject; date and time of text messages; attachments to email; numbers called and duration of calls; domain names of websites visited, duration of visits; and files downloaded from the internet) for reasons which include: providing evidence of business transactions; ensuring that our business procedures, policies and contracts with employees are adhered to; complying with any legal obligations; monitoring standards of service, staff performance, and for staff training;
xi. disclosure to the employment, tax and/or immigration authorities;
xii. all other matters relating to your employment with Galton as Galton considers to be necessary or appropriate; and
b. Business process execution, including delivering services to clients.
4. Disclosure
Personal Data provided to Galton and any employment agency or recruiter appointed by Galton in relation to your employment with Galton will generally be kept confidential but you hereby consent and authorise us to provide or disclose your Personal Information for the purposes stated above to the following persons:
a. any person to whom Galton is compelled or required to do so under law or in response to a competent or government agency;
b. any person where public interest or our interests require disclosure;
c. any company, agent or third-party service provider who provides administrative, telecommunications or other services to Galton in connection with our business;
d. any person seeking employment references;
e. pension or insurance companies with whom Galton has arranged benefits coverage for its employees; and
f. such sub-contractors or third-party service or product providers as Galton may determine to be necessary or appropriate.
5. Safeguards
We shall endeavour to implement the appropriate administrative and security safeguards and procedures in accordance with the applicable laws and regulations to prevent the unauthorised or unlawful processing of your Personal Data and the accidental loss or destruction of, or damage to, your Personal Data.
6. Data Transfer and Sharing
Where we consider it necessary or appropriate for the purposes of data storage or processing or human resource management, we may transfer your Personal Data to another member of Galton or third-party service or product providers, under conditions of confidentiality and similar levels of security safeguards.
7. Your Rights of Access and Correction
You have the right to request access to and correction of information about you held by Galton and you may:
a. check whether Galton holds or uses your Personal Data and request access to such data;
b. request that Galton correct any of your Personal Data that is inaccurate, incomplete or out-of-date;
c. request that your Personal Data be retained by Galton only as long as necessary for the fulfilment of the purposes for which it was collected; and
d. withdraw, in full or in part, your consent given previously.
in each case subject to any applicable legal restrictions, contractual conditions and a reasonable time period. In relation to paragraph 7(d) above, please note that notwithstanding the withdrawal of your consent, Galton may still proceed to process your personal data in circumstances recognised and permitted by law.
